Reservation Policy    



ON CAMPUS ENTITIES

Policy
Academic and administrative departments may reserve recreational facilities in the Recreational Sports department. Individual faculty and staff members may not reserve recreational facilities.
Academic and administrative departments may use recreational facilities free of charge with the following exceptions:
Usage outside of normal operating hours.
Special set-ups and tear downs.


Procedure
Academic and administrative departments may request use of recreational facilities in person or by mail. If the facility is available for the activity requested, in accordance with University regulations, and the department does not owe a monetary debt to the Recreational Sports department, approval will be granted. If other special requests are made, the department must get approval from other University entities such as audio/visual technical requests or campus security.
Academic and administrative departments must meet reservation deadlines.
Academic facility requests deadlines:

August 17 - September 1 for the Spring semester.
February 15 - March 1 for the Summer semester
March 15 - March 30 for the Fall semester


REGISTERED STUDENT ORGANIZATIONS


Policy
Only registered student organizations may reserve recreational facilities.
Individual students may not reserve recreational facilities
Registered student organizations may not enter into joint sponsorships with off campus groups or groups of students who are not registered.
Registered student organizations may reserve facilities for the following purposes:

Recreational/athletic activities.
Organizational meetings Registered Student Organizations may use recreational facilities free of charge with the following exceptions:

Usage outside of normal operating hours.
Special set-ups and tear downs.

Procedure
All requests for use of recreational facilities by registered student organizations must be approved in advance by the Student Activities Center through the use of form 44.
Registered student organizations must request use of recreational facilities in person.
If the facility is available for the activity requested, in accordance with University regulations, the organization does not owe a monetary debt to the University, and is not under disciplinary sanctions, approval will be granted.
If other special requests are made, the registered student organization must get approval from other University entities such as audio/visual technical requests or campus security.
Registered student organizations must submit a facility request for to the Recreational Sports department at least one (1) week prior to the event.


SPORT CLUBS


Policy
Only recreational sport clubs may reserve recreational facilities.
Sport clubs may not enter into joint sponsorships with off campus groups. Exceptions are activities CO-sponsored with the department of Professional and Continuing Education.
Sport clubs may reserve recreational facilities for the following:
Meetings Practices Games Membership recruitment Set-ups and tear downs are the responsibility of the club making the request


Procedure
Sport clubs must complete a facility request form at least one (1) week prior to the event.
Requests for recreational facilities must be made in person by club officers only.
If the facility is available for the activity requested, in accordance with University regulations, the sport clubs does not owe a monetary debt to the University, and is not under disciplinary sanctions, approval will be granted.
If other special requests are made, the registered student organization must get approval from other University entities such as audio/visual technical requests or campus security.
